This notice explains what personal information Building Additions collects, why we need it, who we share it with and how long we keep it. When you ask us for a quote
When you fill in the quote form on this website, or contact us by phone or email, we collect your name, phone number, email address, postcode, the type of project, what you tell us about it and, if you choose to say, how you heard about us.
We use this to reply to you, arrange a visit and give you a quote. We do this because you have asked us to (the legal term is “taking steps at your request before entering into a contract”).
If you go ahead with us
While we plan and carry out the work, we keep a record of the job: your contact details, the address of the property, dates, notes about the work, costs, and photos of the work before, during and after.
We use this to carry out the work, keep you updated and keep proper records. We do this to fulfil our contract with you, to meet our legal duties (for example tax and accounting records), and because we have a legitimate interest in keeping a record of the work in case of questions later.
Reviews and testimonials
When a job is finished we may email you to ask for a Google review, and whether you would be happy for us to show a few words from you on our website. We do this because we have a legitimate interest in hearing how we did and showing future customers what others think. Just tell us if you would rather not receive these emails.
If you send us a testimonial using the form on our website, we keep your comments and the name and area you choose to show. We only publish it with your permission (the tick box on the form), and you can ask us to take it down at any time.
Reviews you leave on Google are covered by Google’s own privacy policy.
Photos of our work
We may show photos of finished work on our website. We never show names, house numbers or anything else that identifies you. If you would rather your home did not appear, tell us and we will take the photos down. We do this because we have a legitimate interest in showing our work to future customers.
Visiting our website
Our website does not use analytics, advertising or tracking cookies, and it does not load anything from other companies (even our fonts are served from our own website). The only cookies are the ones needed for our staff to log in. Like all websites, our hosting company keeps short-term technical logs, including IP addresses, to keep the website secure.
Who we share your information with
- Our team, and any subcontractors working on your job, only see what they need (for example, your name, the site address and your phone number).
- The companies that run our systems: our website and job records are hosted in the UK by Krystal Hosting; MoccaJar Software looks after our website and job system; our email is provided by Zoho.
- To help us write descriptions of finished projects for our website, we use an AI service from Anthropic, a company based in the United States. We only send photos of the work and details of the project, never your name, contact details or full address. These transfers are protected by the Standard Contractual Clauses with the UK Addendum issued by the Information Commissioner’s Office.
- To turn a postcode into a neighbourhood name, we use postcodes.io, a free public service. Only the postcode is sent.
- Our accountant, HMRC, and others where the law requires it.
We never sell your information or use it for anyone else’s marketing.
How long we keep it
- Enquiries that don’t go ahead: 12 months after we were last in touch.
- Customers and job records: 6 years after the job is finished, for tax and in case of questions about the work.
- Testimonials: until you ask us to remove them.
- Photos on our website: until you ask us to remove them, or we stop using them.
Your rights
You have the right to ask us for a copy of the information we hold about you, to correct it, to delete it, to limit how we use it, to object to how we use it (including stopping review and testimonial emails at any time), and to have it sent to you or another organisation. Where we rely on your permission, you can withdraw it at any time. There is normally no charge, and we will reply within one month.
Complaints
If you are unhappy with how we have used your information, please contact us first and we will do our best to put it right. You can also complain to the Information Commissioner’s Office (ICO): ico.org.uk/make-a-complaint or 0303 123 1113.
Changes to this notice
We will update this page if we change how we use your information.
